FACILITIES MANAGEMENT

We understand facility leaders perform a wide scope of functions: administrative, technical equipment, building knowledge, ability to lead teams, and code and regulation knowledge. The advancement of technology has caused staffing levels to be reduced, trades are outsourced to compensate for demand, and staffs request more training to keep up. Our program brings staff, education, and program development to facility leaders through a full host of services or modules to help fill in the gaps. We aim to make the facility team’s programs more reliable, safer, and decrease stress on all facility personnel.

PROJECT MANAGEMENT

As the construction needs of healthcare facilities are a vital and natural part of any campus, we find that the leadership of the facilities often discover that their time limitations and knowledge base restrict them from reaching the goals of their projects. Rather than the facility’s leadership attempting to manage the design and construction process on their own, we possess the ability to handle everything from preparation and scheduling to contracting and billing, while also being correspondingly skilled at understanding the systems already in place at the healthcare facilities.

PROJECT PLANNING

  • Development of design and preconstruction services RFPs

  • Assist in the identification of design and preconstruction services RFP invitees and of sub-consultants as needed

  • Review of and negotiation of contracts for design, preconstruction services and construction

  • Interaction with appropriate regulatory agencies as necessary

  • Facilitate facility-specific data requirements

  • Support and monitor design and preconstruction consultant and sub-consultant deliverables and progress

  • Coordination of user group sessions and interactive design process

  • Update OPC as needed

MASTER PLANNING & EVAULATION

  • Development of master plan request for proposal (RFP)

  • Assist in the identification of Master Plan RFP invitees and of sub-consultants

  • Coordinate and provide input for the definition of the planning process, timing, and project delivery methods

  • Facilitate facility-specific data requirements

  • Support and monitor master planning consultant and sub-consultant deliverables and progress

  • Development of opinion of probable cost (OPC)

  • Project scheduling

DESIGN, AGENCY REVIEW & PRE-CONSTRUCTION

  • Assist in the selection of Inspector of Record

  • Support and monitor design and preconstruction consultant and sub-consultant deliverables and progress

  • Interaction with appropriate regulatory agencies as necessary

  • Update OPC as needed

  • Bid package preparation and review and negotiation of construction contract

  • Coordination of user groups, medical and auxiliary equipment planning

  • Work with facility materials management for purchase of capital equipment

CONSTRUCTION & PROJECT CLOSE-OUT

  • Interim life safety measures (ILSM) and infection control risk assessment (ICRA) administration

  • Review general contractor (GC) project schedule, monitor for deviation, and work with GC to mitigate delays

  • Lien release (conditional and unconditional) review in conjunction with design consultant

  • Change order review and control

  • Work with facility materials management for purchased assets tracking

  • On-site representation

  • Administration of testing and inspections in conjunction with Inspector of Record

  • Occupancy plan and move management

  • Schedule move-in activities

  • Coordinate facility commissioning

  • Release of retention/final lien release

GENERAL SERVICES

  • Invoice review and approval

  • Preparation of owner specific capital pay request transmittal documentation

  • Detailed invoice tracking

  • Monthly reconciliation with CIP report and/or general ledger report

  • Purchase order history review and tracking

  • Monthly actual to budget reporting

  • Consolidated project financial reporting for project groupings as needed

  • Project closeout of financial reporting including cooperation with auditors

PEER REVIEW ILSM PREPARATION

  • Fire and life safety training and education

  • Provide assistance in preparing condition statements for healthcare and long-term care facilities

  • Provide code research into current conditions

  • Assist in alternate means of compliance

  • Assist with fire drill preparation and emergency plans
